Target audience: ACCESS-Hive dev team

Goals/Agenda

  • Decide date to freeze Hive development branch (Monday 28th?)
  • Decide launch date of Hive (Tuesday 29th?)
  • Decide where to put Workshop training material on the Hive
  • Problem with adding training material after freezing the Development branch
  • Team leads prefer Hard not Soft launch on Tues 29th August! (i.e. Announce on NRI website)
  • New Images
  • Discuss the contribution methods to the hive (how to make PRs specifically)? Contribute by making a fork of the repo or becoming a member of the org?
  • ACCESS-Hive website vs ACCESS-NRI website

Discussion Notes

SOFT LAUNCH and HARD LAUNCH FOR HIVE

  • Could just go straight on the hard launch and releasing it in the newsletter.
  • For the tagline of Hive, we have collated all the useful resources on the hive for running models and other content relevant to the ACCESS community.
  • Hive is a starting point for all users and we would be able to add more and more things related to ACCESS-NRI or information for and from the community, that users might find useful.
  • ACCESS-Hive new launch should mention the new aspects included in the hive page - improved UI and navigation, updated the content to be more easier to follow.
  • ACCESS-NRI workshop could point to the new easier to follow guides of how to run the configurations, and the user support scheme should be really clear and should appear as an improvement for the Hive page.
  • For the Hive, we could include it in the newsletter and we need to update all the information on the ACCESS-NRI website.
  • Natalia would be sharing the last text of the media release, and before that we could have a news post for the people to put in more suggestions.
  • We can take a photo with Hive as a background, so for including in the user support section.
  • However, Davide suggested that in the MED team, we could add avatars, and we could have a photo together for the Hive page.
  • Davide is working on the responsiveness, and we could complete that by Friday this week.
  • The freeze would be on Monday, and Hive launch on Tuesday. And change the branch to the main by Tuesday morning.
  • Main is protected for Romain and Claire and Aiden and we might need to have permissions to deploy the development branch on the main one.
  • Might need to ask Romain for doing the release of the development branch to the main branch.
  • Romain would be the one to take charge of the release.
  • The changing of the main branch could be done on the Tuesday morning.
  • Natalia would be creating a SharePoint folder for the images.

DISCUSS THE CONTRIBUTION METHODS

  • We would like people to contribute, and a contribution could be a bug, feature request etc.
  • All these pieces of contribution could be done in two ways - raise an issue on github and open a pr.
  • If someone does not have GitHub, they would raise it on the ACCESS-Hive forum.
  • And anyone could be a member of the organisation, and might need to ask Aiden, Claire and Romain regarding that.
  • We can talk to Aiden, and ask him about the forum page for giving contributions for the hive page.

ACCESS-Hive AND ACCESS-NRI WEBSITE

  • Check everything for the ACCESS-NRI and ACCESS-Hive is in the right spot.
  • And we need to do that before the release. Natalia might be working on that on Friday and make those changes for the images on the ACCESS-NRI website.
  • Could we on Monday for the team to check the changes between the two websites. Tag the team tomm. and that was ready for Friday morning.

TRAINING

  • Monday coming up for the workshop training, and 1-2 hour webinars for the virtual training.
  • Two suggestions - community resources, and full tab for the training (workshop 2023).
  • The main link from the main website and immediately, on the page, we have the link for the ACCESS-NRI.
  • The quick link and both for training and we need to have a place on the hive to include that.
  • We could have a different sections and under community resources, having a full tab - community workshops.
  • And we could be growing the page on the community resources - as the training team and content grows and that material could be linked on later on.
  • Would have a quick little button at the top to the events page on the workshop.
  • Last year (2022) workshops and other links for CMIP7 from March could be another one, and then the events for 2023.
  • The only thing we are duplicating from the main website is a sub-section of the timetable.

NEW HIVE PITCHING

  • For the team to put ideas in 3 paras for the updates in the new hive.
  • For the hive which is the user hub, we want to highlight updates and documentation on several points.
  • Support configurations need to be careful with the citations, and CM2 and ESM2.
  • Last November, that was the initial consolidation of the existing documentation, there is so much stuff out there and all the resources were collated together for supporting the documentation basics.
  • Maintained by ACCESS-NRI.
  • Change of scope from the last Hive to this one, and from the community's perspective, and there wasn't big change and it just matured.
  • It would evolve in the future and this Hive is the starting point and content would evolve as ACCESS-NRI continues to grow and receive community feedback on areas we need.
  • Run through contributions and feedback on areas of need.
  • Pointing out the user guides for our supported configurations and guides for tools in the Model Evaluation and Data.
  • This together with the forum better connect with the community, and the updated hive has included many tools for the community, for ex. forum.
  • We could include how to run the supported model configurations, and data and model evaluation tools,...
  • The next meeting is on the Friday morning.

Action Items (To be added to Zenhub)

  • Take the teams photo with the Hive.
  • Deploy the development branch to the main branch by Tuesday morning.
  • Include a workshops tab under the community resources tab, and have a 2022 and 2023 subsections in there. Have training subsections in there.
